## How engagements work

1. The client submits known details about the ancestor and copies of any documents held.
   The intake form at https://historicalbureau.com/?form=open&step=1 is the preferred
   route: it asks for exactly what is needed to assess a case, which avoids the usual
   exchange of follow-up questions. Email, Telegram and WhatsApp also work.
2. An Expert Assessment establishes which records survive, where they are held, and what
   can realistically be obtained. Cost EUR 150; timeframe about 7 days. It is a required
   first step for genealogical research and for citizenship and repatriation cases. For
   birth, marriage and death certificates it is needed only when the client's starting
   information is incomplete; where names, dates and places are already known, retrieval
   begins directly.
3. For records under 75 years old the client provides a power of attorney and proof of
   kinship. Records older than 75 years proceed without them.
4. Documents are retrieved from the competent authority, apostilled where required, and
   scanned copies sent as each is issued.
5. Originals are shipped worldwide with a tracking number.

Indicative pricing: legal documents from EUR 150 per document; apostille EUR 60 per
document; hourly research after the assessment. Prices are stated on each service page.

## Data handling

Full GDPR safeguards apply to client correspondence and to records concerning living
people. Under Ukrainian archival law, records younger than 75 years are presumed to
concern living individuals. GDPR protects living individuals only; data on deceased
persons falls outside its scope. No marketing databases or mailing lists are kept.
